Customize your dashboard

Customize what you see on the ValidMind Platform when you first log in with dashboards and widgets, enabling you to review and access information at a glance.

Changes are automatically saved to your account and do not affect other users, unless you publish a dashboard to your organization.1

Prerequisites

Manage dashboards

Dashboards allow you to use widgets to quickly review and access information by displaying widgets.

Add dashboards

  1. In the left sidebar, click Dashboard.

  2. Click Add Dashboard.

  3. On the Add New Dashboard modal that appears, enter the:

    • Dashboard Name
    • Description (optional)
  4. Click Add New Dashboard to create your dashboard.

  5. Once created, add widgets to your dashboard.

Edit or remove dashboards

Deletion of dashboards is permanent.

  1. In the left sidebar, click Dashboard.

  2. Click on the tab for the dashboard you want to edit or remove.

  3. Click Edit Dashboard:

  1. Select Details to edit a Dashboard Name or Description.

  2. Make your edits then click Save Changes to apply your adjustments.

  1. To remove a dashboard, select Delete.

  2. Click Yes, Delete Dashboard to confirm permanent deletion of that dashboard.

Share a dashboard with your organization

Publishing a dashboard adds it as a tab for members of your organization, so that everyone works from the same view instead of assembling their own.

To publish a dashboard, you need the Manage Shared Dashboards permission.2 No role holds it by default — Customer Admin users can publish, and an administrator can grant it to any other role.

You can only publish a dashboard you own. Holding the permission does not let you publish someone else’s dashboard.

  1. In the left sidebar, click Dashboard.

  2. Click on the tab for the dashboard you want to publish.

  3. Click Edit Dashboard.

  4. Select Publish to Organization.

  5. (Optional) Select one or more roles under Visible to Roles to limit which users see the dashboard:

    • Leave Visible to Roles empty to make the dashboard visible to everyone in your organization. This is the default.
    • Only organization roles can be selected,3 not record stakeholder types.4
    • Customer Admin users are not affected by role restrictions.
  6. Click Publish Dashboard.

ImportantEvery widget must already be shared with the same roles.

A dashboard cannot be published while it still contains a widget that your colleagues would not be able to see. If any widget is not shared with the organization, or is not visible to the roles you selected, the dashboard is not published and each blocking widget is listed by name.

To resolve it, share those widgets with the same roles — you may need an administrator to do this — or remove them from the dashboard and publish again.

Once published, the dashboard appears as a tab for the members of your organization who hold the selected roles.

  • The dashboard is view-only for them. Only its owner or an administrator can change it.
  • A banner names who shared it.
  • If a viewer holds none of the roles a particular widget is restricted to, that widget is replaced by a placeholder telling them they don’t have access. The widget’s data is never sent to their browser.

Unpublishing returns the dashboard to being private and removes it from other members’ dashboard tabs.

  1. In the left sidebar, click Dashboard.

  2. Click on the tab for the published dashboard.

  3. Click Edit Dashboard.

  4. Select Unpublish.

  5. Click Yes, Unpublish Dashboard to confirm.

Taking your own dashboard back does not require the Manage Shared Dashboards permission — if your permission is revoked after you publish, you can still unpublish. Administrators can also unpublish a dashboard shared by someone else, which removes their own access to it along with everyone else’s.

Manage widgets

Widgets display information at a glance on your dashboards.5

Widget types

Retrieves a saved inventory record view.6

Retrieves a saved artifacts view.7

Retrieves an analytics visualization.8

Retrieve a list of the latest artifacts9 or recent activity.10

Arrange widgets

  1. In the left sidebar, click Dashboard.

  2. Click on the tab for the dashboard you would like to arrange widgets for.

  3. Click Edit Dashboard.

  4. Hover over the title of a widget until the appears.

  5. Click and drag to position your widget as desired.

    To resize a widget, hover over the bottom-right corner of a widget until the appears, then adjust the dimensions to your liking.

  6. Click Done Editing to exit the editor.

Add widgets

  1. In the left sidebar, click Dashboard.

  2. Click on the tab for the dashboard you would like to add a widget to.

  3. Click Edit Dashboard.

  4. Select Add Widget.

  5. Select the type of widget you’d like to add:11

    • Inventory Records View
    • Artifacts View
    • Visualization
    • Other
  6. On the modal that appears, configure the information retrieved by the widget:

  1. Select a Record Type.
  2. Select a View Name.
  3. Click Add Inventory Records View to insert the view as a widget onto your dashboard.
  1. Select an Artifact Type.
  2. Select a View Name.
  3. Click Add Artifacts View to insert the view as a widget onto your dashboard.
  1. Select an Analytics Page
  2. Select a Visualization.
  3. Click Add Visualization to insert the visualization as a widget onto your dashboard.
  1. Select one of the Widgets.
  2. Click Add Widget to insert the widget onto your dashboard.
  1. Confirm that your widget appears as expected.

    You can also rearrange the position of the widget to your liking.12

  2. Click Done Editing to exit the editor.

Remove widgets

ImportantRemoval of widgets is permanent.

Removing a widget from a dashboard will not delete the linked view or analytics visualization.

  1. In the left sidebar, click Dashboard.

  2. Click on the tab for the dashboard you would like to remove widgets from.

  3. Click Edit Dashboard.

  4. Hover over the widget you would like to remove.

  5. When the menu appears, click on it and select Remove.

  6. Click Yes, Delete Widget to confirm permanent deletion of the widget from that dashboard.

  7. Click Done Editing to exit the editor.
