Document Checker

The ValidMind Document Checker is a compliance tool that reviews documents against a selected regulatory standard. Use the Document Checker to identify gaps, generate actionable recommendations, and focus your efforts on areas that require attention. The Document Checker uses a structured checklist to:

  • Assess whether required information or evidence is clearly documented or attached.
  • Identify missing or weak areas in the document.
  • Offer guidance on how to improve clarity, completeness, and compliance.
  • Ensure consistency with regulatory expectations for risk and governance.

Customizing the ValidMind Document Checker to support your organization’s unique regulatory requirements and policies helps start quality assurance early in record lifecycles and enables individual contributors to actively participate in risk-management oversight.

By default, ValidMind supports the following regulations:

  • Federal Reserve Supervisory Letter SR 26-2 (United States)
  • Bank of England Prudential Regulation Authority (PRA) Supervisory Statement SS1/23 (United Kingdom)
  • Office of the Superintendent of Financial Institutions (OSFI) Guideline E-23 (Canada)
  • European Union Artificial Intelligence Act (Regulation (EU) 2024/1689, EU AI Act)

Prerequisites

Manage regulations and policies

NoneDefault regulations provided by ValidMind cannot be edited.

Default regulations2 can be archived or deleted for your organization if you prefer to use your own.3

  1. In the left sidebar, click Settings.

  2. Under Governance, select Regulations & Policies.

  3. Add or edit a regulation or policy:

  1. Click Add Regulation or Policy to create a new regulation or policy.

  2. Provide the details for your regulation or policy:

    • Regulation Or Policy Name
    • (Optional) Description
  3. Click Add Regulation or Policy to create your regulation or policy.

  4. Once created, manage your regulation or policy assessments.4

Archive, restore, or delete default regulations

NoneArchiving and deleting apply to your organization only.
  • ValidMind continues to provide the regulation, and other organizations are unaffected.
  • An archived or deleted regulation no longer appears when you run the ValidMind Document Checker, and neither do any of its assessments.
  • Archiving can be undone at any time, and assessments already run remain viewable.
  • Deleting cannot be undone. Assessments already run against the regulation are no longer accessible, and any assessments your organization created under it are deleted as well.
  • Artifacts created from those assessments are kept in both cases.
  1. In the left sidebar, click Settings.

  2. Under Governance, select Regulations & Policies.

  3. Archive, restore, or delete a default regulation:

  1. Hover over the default regulation you want to archive.

  2. When the menu appears, click on it and select Archive.

  3. Click Yes, Archive Regulation to confirm archival.

The confirmation lists any risk tier templates that reference the regulation. They keep the reference.

Once archived, the regulation moves to the Archived Regulations & Policies section. While a regulation is archived, its assessments cannot be archived or restored individually.

  1. Under Archived Regulations & Policies, hover over the regulation you want to restore.

  2. When the menu appears, click on it and select Restore.

  3. Click Yes, Restore Regulation to confirm restoration.

Once restored, the regulation and its assessments are available again when you run the ValidMind Document Checker, exactly as before.

  1. Hover over the default regulation you want to delete.

  2. When the menu appears, click on it and select Delete.

  3. Review the confirmation, which lists the assessments your organization created under the regulation that will also be deleted, and any risk tier templates that reference it.

  4. Click Yes, Delete Regulation to confirm deletion.

You can also do this from the regulation’s own page: click the regulation, then use Archive Regulation, Restore Regulation, or Delete Regulation on the right.
