Track information events for inventory records across your organization or for a single record. Audit updates such as stage or workflow transitions, document changes, logged artifact activity, and more.

What is tracked on record activity?

Record activity shows a history of activities for inventory records, including actions performed by users in your organization, activity from automated workflows, and updates generated via the ValidMind Library, such as:

  • Fields updated
  • Stage transitions
  • Updates to documents: documentation, validation reports, ongoing monitoring reports, or custom documents
  • Test results or metrics added via the library
  • Artifacts added, updated, or removed
  • Artifact field changes, including before and after values
  • User comment creation and replies on documents
  • Stakeholders added or removed
  • Workflow activity
  • Record Intake lifecycle events when an intake inventory record type is configured — submitted for intake, classified or reclassified (including automated routing, manual review, or admin changes), and rejected and archived1

You can review this history organization-wide on ActivityRecord Activity, or for a single inventory record from that record’s Activity page.

Prerequisites

View record activity

Use the organization Activity page to review record and artifact updates across all inventory records you can access:

  1. In the left sidebar, click Activity.

  2. Select the Record Activity tab.

The feed shows recent record and artifact events organization-wide. For configuration and settings changes, use the Settings Activity tab.3

To view record activity:

  1. In the left sidebar, click Inventory.

  2. Select the type of {Record} you want to view activity for by clicking on {Record} Inventory.4

  3. Select a record or find your record by applying a filter or searching for it.5

  4. In the expanded sidebar that appears for your record, click Activity.

View individual field activity

To view activity for individual inventory fields on a specific record:6

  1. In the left sidebar, click Inventory.

  2. Select the type of {Record} you want to view field activity for by clicking on {Record} Inventory.7

  3. Select a record or find your record by applying a filter or searching for it.8

  4. Hover over the field whose individual activity you want to view until the icon appears.

  5. Hover over to view individual activity for that field.

Filter record activity

Narrow activity by event dimensions, record or artifact attributes, or both. Available filters differ between the organization-wide feed and a single record’s Activity page.

On ActivityRecord Activity, click Filter to open the filter popover. The popover has two tabs; rules from both tabs combine with AND when you apply them:

Filter by dimensions of the activity event itself:

  • Event Category — Category of the activity event.
  • Actor — User who performed the activity.
  • Artifact Type — Type of artifact involved in the event.
  • Changed Field — Inventory or artifact field that changed.
  • Document — Document associated with the event.
  • Workflow — Workflow associated with the event.

Filter by the current values of related inventory records and artifacts. Grouped fields include:

  • Record — For example Business Unit, Group, Model ID, Model Stage, Name, Inventory Record Type, Purpose, Tier, Use, and vendor fields.
  • Finding — For example Severity, Status, Owner, Created on, and Due date.
  • Workflow — For example Workflow name, Status, and Started on.
  • Document — For example Owner and Last updated.
  • User — For example Name and Email for the acting user.
NoteRecord filters include downstream artifact activity

Filtering by a record attribute (for example Business Unit) returns activity on matching records and on artifacts logged to those records, such as validation issues.

  1. Click Add Rule (or add a group) to build your filter conditions in either tab.

  2. Click Apply Filters.

Active filters appear as chips. Click on a chip to remove that filter, or clear all filters from the popover. Organization-wide filters persist in the URL (qbfilters), so you can share or bookmark a filtered view.

On a record’s Activity page, filter by category or specific values:

  1. In the left sidebar, click Inventory.

  2. Select the type of {Record} you want to filter activity for by clicking on {Record} Inventory.9

  3. Select a record or find your record by applying a filter or searching for it.10

  4. In the expanded sidebar that appears for your record, click Activity.

  5. Click Filter to open the filter popover.

  6. Click Add Rule to add a filter condition.

  7. From the Select category dropdown, choose your filter options:

    Shows all events in a category:

    • Logged Artifacts11 — Artifacts logged on the record, by type.12 Only types of artifacts logged on the record will appear for selection.
    • Artifact Fields13 — Custom field changes on artifacts logged on the record, including before and after values.
    • Logged Metrics14 — Metrics over time logged on the record.
    • Record Stakeholders15 — Stakeholders added or removed from the record.
    • Record Fields16 — Inventory fields updated on the record (label reflects current UI).
    • Record Documents17 — Updates made to documents on the record, including any logged test results from the ValidMind Library.18
    • Record Lifecycle19 — Record stage transitions.
    • Record Workflows20 — Workflow activity on the record.

    Shows events for specific values in a category you select. Select a value key, then choose one or more specific values from the secondary dropdown:

    • Logged Artifacts21 — Artifacts logged on the record, by type.22 Only types of artifacts logged on the record will appear for selection.
    • Artifact Fields23 — Custom field changes on artifacts logged on the record, by artifact. Only artifacts logged on the record will appear for selection.
    • Record Fields24 — Inventory fields updated on the record. Only inventory fields populated on the record will appear for selection.
    • Record Documents25 — Updates made to documents on the record, including any logged test results from the ValidMind Library.26 Only documents with activity will appear for selection.
    • Record Workflows27 — Workflow activity on the record. Only workflows applied to the record will appear for selection.
    • User28 — Events performed by user. Only users with activity on the record will appear for selection.

    (Optional) Add more rules by repeating steps 5 and 6. Multiple rules combine with AND logic.29

  8. Click Apply Filters to apply your filter rules.

Remove active filters

After applying filters, active conditions appear as chips below the header. Click on any chip to remove that filter, or click Clear All Filters to reset.

Share filtered views

Filters persist in the URL, so you can share or bookmark a filtered view.
